How much does custom software for an insurance agency cost?
Prices as of October 30, 2026.
Most agencies look into this after something slips: a recert missed during AEP, a license that lapsed, a carrier appointment stuck for weeks. Your CRM holds your clients. Nothing holds the dates.
The short answer: Formation builds start at $5,000, and most agencies invest $10,000 to $18,000. What you pay depends on how much of the office it covers and how custom it gets. Monthly upkeep is one flat price, with no charge per person. You’ll get fixed prices in writing before any work starts.
What you get at each level
The essentials
Builds start here, at $5,000.
- Nothing waits for you to remember. A short email at 7:00 AM tells you only what needs you. If everything’s on track, you hear nothing.
- A carrier contract can’t go quiet without you knowing. Every carrier from application to writing number, with the next step and who to call.
- A license renewal or carrier recert can’t sneak up on you. Each one gets its own date and an early warning.
- Your calendar and your to-dos on one Today screen, using the Google account you already have.
- A big job can’t stall halfway. Projects become step-by-step lists.
- You stop hunting for portals. One tap to your quoting tools, enrollment sites and carrier portals.
The whole office
Everything above, plus:
- A missed call can’t get lost. Log it in two taps, and it stays on your list until you call back. Works whether you have a CRM or not.
- A client follow-up can’t fall through. Check-ins, holiday cards and AEP, each with a checklist that shows up when it’s time to start.
Fully custom
Everything above, plus whatever your office needs beyond it:
- Connecting to the other platforms you use, so your information doesn’t live in two places.
- Anything more custom, like a screen built around something only your office does.
- Custom design work beyond your logo and colors.
What the monthly upkeep covers
Upkeep is one flat monthly price, shown in your written plan:
- Hosting, backups and security updates
- Up to 10 small changes a month, like a new field, a new checklist or a wording change
- Your whole team, with no charge per person
- A copy of your information any time you want it
What changes the monthly price. It depends on what’s customized and what it takes to support it:
- More database size or access, or larger hosting
- Fees to connect to other tools, if a tool you use charges for that connection
What upkeep doesn’t cover. Going back to the building phase to add features that weren’t in your original build. Those get a fixed price before any work starts.
You pay for the build as it’s built, not all at once. After that, you pay upkeep only, unless you decide to build more.
How that compares to your other options
The honest comparison isn’t only about price, because these don’t all do the same job.
| Option | What you pay | What you get | The catch |
|---|---|---|---|
| Spreadsheet and wall calendar | Little or nothing | Works today, and you already know how to use it | It only works if someone keeps it up, and it never reminds you |
| A CRM | Usually a monthly fee, often per user. Check each company’s current pricing. | A home for your clients and policies | It’s built around clients, not your carrier contracts, licenses and recerts. Keep it if you have one. Formation works next to it. |
| Hiring office help | A wage, for as long as you need them | A real person who can handle far more than tracking dates | Someone still has to train them, and the system they use still matters |
| Custom software (Formation) | A one-time build plus flat monthly upkeep | Your own private system, built around how your office runs | It costs more up front than the others |
Is it worth it?
For one example, the calculator on our homepage adds up to $16,100 in a year from keeping 8 more clients, getting back 3 hours a week and avoiding one missed recert. Those are example numbers, not results. Put in your own.
When you don’t need this: if you work alone with a few carriers and a license or two, and nothing’s slipping, a calendar and a spreadsheet may be all you need. Save your money. Formation makes more sense when dates are slipping or you’re spending hours a week chasing paperwork.
Questions agents ask
How much does Formation cost?
Builds start at $5,000, and most agencies invest $10,000 to $18,000. Monthly upkeep is one flat price. You get fixed prices in writing before any work starts.
What makes it cost more?
Covering more of the office, like call logging and client follow-ups, and anything custom: connecting to the other platforms you use, screens only your office needs, or design work beyond your logo and colors.
What changes the monthly upkeep price?
Usually a custom build that needs more to run it, like extra database room or larger hosting, or another tool that charges a fee to connect to it.
Can I add features later?
Yes. Small changes are part of upkeep. A new feature that wasn’t in your original build is new building work, priced before it starts.
Do I pay per person?
No. Add your whole team, part-timers included, at no extra cost.
Do I have to pay it all up front?
No. You pay one piece at a time as it’s built, and each piece ends with something you’re already using.
What if I stop partway?
If one piece doesn’t earn the next, stop there. You keep what’s built and take a full copy of your information with you.
Is it worth it for a one-person agency?
Only if the tracking is costing you. Plenty of solo agents do fine with a calendar. The case for it gets stronger once you’ve missed a date, or paperwork is eating into your selling time.
